A Florida transaction coordinator (TC) organizes the work between a signed purchase contract and closing. The TC keeps dates, documents, and people moving together so the real estate agent can stay focused on the client and the decisions that require the agent's judgment.
On a typical file, I review the executed paperwork for missing information, build the transaction timeline, confirm escrow receipts, coordinate with title and the lender, follow inspection and appraisal progress, collect association materials, and keep the brokerage compliance file current. As closing approaches, I check signing arrangements, final walk-through plans, settlement paperwork, and remaining open items. I send weekly status updates and flag time-sensitive issues sooner.
The scope changes with the property. A condo may need association documents and buyer approval. A financed purchase adds lender milestones. A seller's file may need estoppels, repair receipts, title follow-up, and a plan to keep utilities on through the closing day.
The agent advises and represents the client. The lender makes lending decisions; the title company or closing attorney handles title and settlement; legal and tax professionals advise within their specialties. A TC can request information, document status, and bring a problem to the right person, but should not make those decisions for them.
Christine Matus PA supports Florida residential agents from executed contract through closing. My fee is $500 per closed transaction, or $700 when I coordinate both sides of the transaction; no TC fee is charged if the file does not close.
